Review the archive before you price it.

Run these seven checks before discussing an AI data license or sharing company records. The first review needs a clear account of the systems, history and rights.

Whether a defined body of company work is ready for a serious rights and buyer review.

Start with one workflow and the rights around it.

Define one workflow

Choose a repeated unit of work, such as a laboratory case, freight movement or service visit. Name where it begins, the decisions made and the outcome recorded.

Map who controls the records

List who generated each part of the workflow and which customer, vendor, employee or platform terms apply. Possession alone does not establish a right to license data.

Locate sensitive fields

Identify personal data, customer information, prices, credentials, privileged material, regulated records and security-sensitive details before any sample is discussed.

Test whether cases connect

Check whether IDs, timestamps or system links can connect a request to the work, judgment and outcome. A folder of unrelated exports is much harder to assess.

Count complete cases

Estimate the number of usable workflows, not the number of files or messages. Record the date range, missing stages and major changes in systems or process.

Record the restrictions

Write down retention rules, deletion duties, geographic limits, confidentiality terms, consent requirements and any uses that are prohibited or still unclear.

Prepare an archive description

For a first review, share the systems, workflow, rough volume, history and known rights. Keep messages, files, customer details and credentials out of the inquiry.

Pause the review when the basic authority is missing.

    The useful records mainly belong to customers, employees or another platform.

    Contracts prohibit the proposed use or no one can locate the controlling terms.

    Personal, regulated or privileged material cannot be separated without destroying the workflow.

  4. 04

    The archive contains isolated files but cannot connect work to decisions and outcomes.
